Promotion at an event: what should you bring?

An event is only a success if visitors remember your name. This checklist helps you decide which promotional materials really work.

What should you bring to an event?

The best promotional materials for an event are visible, useful and easy to carry. Think flyers with a clear message, a giveaway that visitors actually use, and visual recognition on and around your stand. Get that combination right, and you'll be remembered — long after the event is over.

Start with the basics: print that works

A well-designed flyer or poster grabs attention and gives visitors something to take away. Make sure your message fits on one side of an A-size sheet: what do you do, who is it for, and how can people get in touch? A table card at your information desk or product demo lets visitors take in information at their own pace. Make sure the design matches your house style and that the print resolution is high enough — a blurry print undermines your image straight away.

Visibility starts outside the stand

Many organisers only focus on their own stand, while the visibility around it is at least as valuable. Pennant lines and flag lines are a simple way to mark out space and draw visitors towards you from a distance. Hand-waving flags are popular at busier events: staff or ambassadors walking around with a printed flag create moving, eye-catching recognition. And for events with a sporty or community feel — think a village fête or cycling event — bike flags are an unexpectedly effective tool.

Giveaways: choose usefulness over novelty

The tables at a trade fair are full of gadgets that end up in the bin after three days. Choose giveaways that people actually use. A good pen is the classic example: practical, compact and visible every day on your potential customer's desk. A bottle opener goes down well at hospitality, catering or food-sector events — functional, with your name on it every time someone opens a bottle. The rule is simple: if you'd keep it yourself, it's a good giveaway.

Hospitality and food events deserve special attention

How many do you need? A rule of thumb

Overestimating leads to waste, underestimating to missed opportunities. A handy rule of thumb: for flyers, count on roughly 30 to 50% of your expected visitor numbers — not everyone takes one. For giveaways, 15 to 25% of visitor numbers is realistic, unless you're deliberately selective about who you give them to (warm leads or visitors who step into your stand). Having something custom printed? Factor in a turnaround time. At DrukPromo, you always get a proof for approval first, which means it's best to order a few working days before your deadline.

Practical checklist for your next event
